Aion Therapy is practice-management software built specifically for behavioral-health clinicians — therapists, counselors, and group practices — including those who practice EMDR, CBT, and DBT.

It is operated by Phoenyx Psychotherapy (phoenyxpsychotherapy.com). Our priority is keeping client information private and secure: AI features run locally, data is encrypted, and every access is recorded in a tamper-evident audit ledger.

1. Who we are

Aion Therapy ("we"), operated by Phoenyx Psychotherapy, provides practice-management software to behavioral-health practices ("Customers"). For client/patient data entered by a Customer, the Customer is the data controller and we are the processor under a Business Associate Agreement (BAA).

2. Information we collect

Account data (name, email, role); practice data; and, for Customers' clients, protected health information (PHI) the Customer enters (demographics, scheduling, clinical notes, assessments, billing). We also record security/audit metadata: device identifier, IP address, and access events.

3. How we use it

To provide the service, secure it, bill Customers, and meet legal obligations. We do not sell personal information. AI features (note-taking, optional visual monitoring) run locally on the Customer's server — PHI is not sent to third-party AI providers.

4. Storage & protection

Data is encrypted in transit (TLS) and at rest (AES-256, with a double-encryption layer for sensitive fields). Access is role-based and logged to an immutable audit ledger. Hosting is in a private network with hardened, access-controlled servers.

5. Your rights

Depending on your jurisdiction (e.g., HIPAA, GDPR, CCPA/CPRA) you may have rights to access, correct, export, or delete your data, and to restrict or object to processing. Clients should direct requests to their provider (the Customer); Customers may contact us. See §8 for retention.

6. Consent

We obtain consent for non-essential cookies and for optional features (e.g., visual monitoring requires recorded patient consent). You can withdraw consent at any time (see Cookie Policy).

7. Sharing

We share data only with sub-processors under contract (e.g., infrastructure, payment processing via Stripe, insurance clearinghouses) as needed to provide the service, each bound to protect it.

8. Retention & deletion

We retain data per our Data Retention & Deletion Policy and applicable law; clinical records are retained for legally required periods, then securely deleted. Customers can request export/deletion on contract termination.

Terms of Service

1. Agreement

By accessing Aion Therapy you agree to these Terms. If using on behalf of a practice, you represent you are authorized to bind it.

2. The service

Aion Therapy provides practice-management software. It is a tool for licensed professionals and does not provide medical advice. You are responsible for clinical decisions and for using the software in compliance with applicable laws and professional standards.

3. Accounts & security

You must keep credentials secure, enable MFA where required, and are responsible for activity under your account. Access is governed by our role-based controls.

4. Customer data & BAA

You retain ownership of data you enter. For PHI, our BAA governs. We process data only to provide the service.

5. Acceptable use

No unlawful use, no attempts to breach security, no use of VPN/anonymizing connections to evade access controls (such connections may be blocked).

6. Payment

Fees are billed per your plan; integrations (e.g., Stripe) are subject to their own terms.

7. Availability & warranty

Provided "as is" to the extent permitted by law; we target high availability but do not guarantee uninterrupted service.

8. Limitation of liability

To the maximum extent permitted by law, liability is limited as set out in your service agreement.

9. Termination

Either party may terminate per the service agreement; on termination you may export your data within the stated window.
